Let us provide you with basic instructions on how to prepare your paper presentation so that it runs onsite properly with no limitations. One important innovation has been applied for this year’s conference. ECREA 2016 will be using onsite presentation upload centre and centralized presentation distribution system. Upload centre is connected with each presentation room, which means, that all presentations uploaded in the centre will be automatically copied directly to the screen of the respective meeting room.
All speakers are therefore kindly requested not to bring the presentation to the meeting room as done before, but to the upload centre. Their presentation will be checked by the technicians, tested if running smooth and stored on the server. Printing service for speakers will be available, too.
Such system brings advantages for both, the speakers as well as the organizers. Speakers may check and amend their presentations before presenting it life and with experienced technical assistance by their side all the time, organizers will save time as using the centralization and upload centre will speed up the conference programme.
All presentations must be handed over to the personnel on a USB stick as far in advance as possible and AT THE LATEST two hours BEFORE the beginning of the session.
Please take time to read the instructions below and prepare your presentation accordingly.
Oral presentations are usually accompanied by PowerPoint presentations. The speakers are entirely responsible for the presentation content (order, graphics etc…). Once on-site at the conference, every speaker should verify that the name of the room and the time of the session have not changed within the final program.
All presentations and questions must be delivered in English, as English is the official language of the conference.
Time for each presentation: 15 minutes (15 minutes discussion will follow at the end of the whole session).
Please make sure your presentation is in a widely used and compatible format. Prepare your presentation preferably using PowerPoint version 2016, 2013 or 2010 (although versions 2007 / 2003 are also supported).
Supported file types include:
Presentation: PPT, PPA, PPTA, PPTX, PDF
Video: AVI, MPG, MKV, MOV, MP4, WMV
Audio: WMA, MP3, WAV
Pictures: JPG, GIF, BMP, TIF
Please note any other file types are not fully compatible with the onsite presentation system and the fluency of your presentation cannot be guaranteed. Any such file type should be consulted with the secretariat in advance in order to secure the best quality of your presentation.
The format of the screens to be used is 16:9 (widescreen). Presentations prepared in 4:3 format can be shown, however, be aware that they will not be shown on the full screen.
Do not forget, when saving your final presentation on a USB stick, to make sure that you include your video files (if any) and all links to any multimedia files.
Your presentation must be handed over to the personnel on a USB stick in the upload centre located on the 2nd floor (room 2.1) as far in advance as possible and AT THE LATEST two hours BEFORE the beginning of the session you are presenting at. Any presentations for an early morning session should be handed over the evening before.
Technicians will be available to help you with uploading your presentation into the onsite presentation system and with any modifications needed.
All presentations will be automatically transferred from the upload centre into the lecture room accordingly.
Upload centre opening hours:
Wednesday, 9 November, 16:00 – 20:00
Thursday, 10 November, 08:00 – 18:00
Friday, 11 November, 08:00 – 19:30
Saturday, 12 November, 08:00 – 18:00
Once you arrive into the lecture room your presentation will already be uploaded on the presentation screen. In all lecture rooms, you will be assisted by a hall assistant, who will show you how to operate your presentation, remote control etc.
Please, do NOT come at the last minute with your own computer, you will NOT BE ABLE to connect it. All presentations must be downloaded beforehand in the upload centre.
All lecture rooms will be accessible 30 minutes before the programme starts.

Each poster should be prepared in portrait orientation.
The maximum dimensions: 120 cm (h) x 90 cm (w)
Each poster should normally contain the following:
abstract matching title (no abbreviations)
full names and affiliations of all contributing authors
an introduction laying out the purpose of the presentation
a narrative (methods, materials, results)
conclusions (clear and simple, emphasizing implications for practice)
The following fonts should be used:
at least 60pt for the title
at least 44pt for the authors/affiliations and possible headings of sections
at least 36pt for the body text
the poster should be readable from 2 to 3 meters distance
Particular attention should be paid to the resolution of pictures and photos. As a rule of thumb, use at least 300dpi resolution, please.
Please be available by your poster throughout the scheduled Poster session in order to present your work and address any questions from the audience. It may be helpful to have copies of backup material or copies of a written paper to hand out to viewers who may want to study aspects of your work in more detail.

There will be one poster session during the ECREA conference:
Friday, 11 November 2016, 14:30 – 16:00, Poster Area (3rd floor, Forum hall foyer)

Your poster must be written in ENGLISH.
Thin cardboard is more suitable than thin paper. Posters will be hung on standard Velcro boards.
Prepare your material beforehand so that it fits neatly into the space available and can be easily attached to the board.
The Conference organizers will provide suitable fixing materials, and on-site assistance will be available to help you display your poster.

Should you not like to carry the poster with you, let it be printed in Prague!
The organizers offer a possibility to print your poster prior the event. This service is available as of 5 October until 5 November. Send your poster in PDF format (printing quality) and pick it up at the Poster desk onsite.
All posters will be printed in the maximum dimensions: 120 cm (h) x 90 cm (w).

Fee for poster printing sent in advance (received and paid by 5 November): 45 EUR
Payment in advance is to be done via credit card.
The secretariat will get back to you after receiving written order to follow up the payment.

Fee for poster printing on-site (only available for orders on 9 November): 55 EUR

The Poster area at the Forum hall foyer on the 3rd floor will be open for poster mounting starting on Friday, 11 November since the morning lectures. All posters must be mounted on Friday and will be displayed within the rest of conference.
All material must be removed by the owner of the poster at the end of the conference after the closing session on Saturday, 12 November, 18:30. The conference organizers cannot accept responsibility for any material left behind. The organizers are not responsible for loss or damage. Posters left on site at the end of the conference will be destroyed.
